Vocado is a voice-first productivity app and service operated by GenApps FlexCo (FN 676166 m, Landesgericht Wels), based in Austria. We are committed to protecting your privacy and complying with GDPR and applicable data protection laws.

2. Data We Collect

Mobile App

When you use the Vocado app, we collect:

• Account information: Email address and display name (via Google Sign-In)
• Usage data: Transcription minutes used, timestamps, subscription status
• App usage analytics: Feature-usage events — e.g. which screens are opened, when a recording starts, or when an error occurs — via Google Analytics for Firebase. These events are linked to your account identifier (a random user ID, not your email address) so we can analyze feature usage, diagnose problems, and detect abuse; they never include the content of your notes or recordings
• Audio recordings: Stored locally on your device, sent to OpenAI for transcription only
• Transcriptions and notes: Stored locally on your device by default
• Device information: App version, operating system (for technical support)

Website

When you visit vocado.pro, we may collect:

• Waitlist information: Name and email address (if you sign up)
• Analytics data: Page views, device type, browser (via Google Analytics, with your consent)
• Cookies: Essential cookies for site functionality, analytics cookies (with consent)

3. How We Use Your Data

Your data is used solely to:

• Provide transcription services via OpenAI
• Track your monthly usage quota
• Communicate about your account and service updates
• Improve app and website functionality
• Send product news (only if you opt in)

We do not sell your data to third parties or use it for advertising purposes.

4. Audio Processing

When you record audio in Vocado, it is sent to OpenAI's servers for transcription. OpenAI processes your audio to generate text and then immediately discards the audio. Your audio is not stored by OpenAI and is not used to train AI models.

Your transcriptions are stored locally on your device. If you enable Web Access, your notes are synced to our secure cloud servers (Firebase/Google Cloud).

5. Cookies and Analytics

Our website uses cookies:

• Essential cookies: Remember your language preference and cookie consent choice
• Analytics cookies: Google Analytics to understand how visitors use our site (only with your consent)

You can manage your cookie preferences at any time using the cookie settings in the footer. Google Analytics data is anonymized (IP anonymization enabled).

6. Data Storage

Your data is stored securely using:

• Firebase (Google Cloud): Account data, usage statistics, waitlist data (GDPR-compliant)
• Your device: Audio recordings, transcriptions, and notes (unless Web Access enabled)

We retain your data while your account is active. You can request deletion at any time. Waitlist data is retained until you unsubscribe or the waitlist is no longer needed.

Account-linked usage analytics are processed by Google (including in the United States under EU Standard Contractual Clauses), may also be stored as raw events in our own Google Cloud (BigQuery) project, and are retained for up to 14 months. When you delete your account, account-linked usage analytics are deleted as well; at the latest, they expire automatically at the end of the retention period.

7. Your Rights (GDPR)

As a user in the EU, you have the right to:

• Access: Request a copy of your personal data
• Rectification: Request correction of inaccurate data
• Erasure: Request deletion of your data ("right to be forgotten")
• Portability: Export your data in a machine-readable format
• Withdraw consent: Opt out of marketing communications at any time
• Lodge a complaint: Contact the Austrian Data Protection Authority (Datenschutzbehörde)

8. Third-Party Services

We use the following third-party services:

• OpenAI: Audio transcription (audio processed, not stored)
• Firebase/Google Cloud: Authentication, database, cloud storage (GDPR-compliant)
• Google Analytics: Website analytics (with consent, IP anonymized) and app usage analytics (Google Analytics for Firebase, linked to your account ID, never including note content)
• Google Play: App distribution and billing

9. Data Security

We protect your data using industry-standard encryption (HTTPS/TLS) for all data in transit. Data at rest is encrypted using Firebase's security features. However, no method of transmission or storage is 100% secure.

10. Children's Privacy

Vocado is not intended for users under 16 years of age. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, please contact us.

11. Changes to This Policy

We may update this privacy policy from time to time. We will notify you of significant changes by posting a notice on our website or app. Continued use of Vocado after changes constitutes acceptance of the updated policy.

2. Welche Daten wir erheben

Mobile App

Bei der Nutzung der Vocado-App erheben wir:

• Kontoinformationen: E-Mail-Adresse und Anzeigename (über Google-Anmeldung)
• Nutzungsdaten: Verbrauchte Transkriptionsminuten, Zeitstempel, Abonnementstatus
• App-Nutzungsanalyse: Ereignisse zur Funktionsnutzung — z. B. welche Bildschirme geöffnet werden, wann eine Aufnahme startet oder ein Fehler auftritt — via Google Analytics for Firebase. Diese Ereignisse werden mit Ihrer Konto-Kennung verknüpft (eine zufällige Nutzer-ID, nicht Ihre E-Mail-Adresse), um die Funktionsnutzung zu analysieren, Probleme zu diagnostizieren und Missbrauch zu erkennen; sie enthalten niemals den Inhalt Ihrer Notizen oder Aufnahmen. Die Daten werden von Google verarbeitet (auch in den USA, auf Grundlage der EU-Standardvertragsklauseln), maximal 14 Monate aufbewahrt und bei Löschung Ihres Kontos ebenfalls gelöscht
• Audioaufnahmen: Lokal auf Ihrem Gerät gespeichert, nur zur Transkription an OpenAI gesendet
• Transkriptionen und Notizen: Standardmäßig lokal auf Ihrem Gerät gespeichert
• Geräteinformationen: App-Version, Betriebssystem (für technischen Support)

Website

Beim Besuch von vocado.pro können wir erheben:

• Wartelisten-Informationen: Name und E-Mail-Adresse (bei Anmeldung)
• Analytics-Daten: Seitenaufrufe, Gerätetyp, Browser (via Google Analytics, mit Ihrer Zustimmung)
• Cookies: Essentielle Cookies für die Website-Funktionalität, Analytics-Cookies (mit Zustimmung)

3. Wie wir Ihre Daten verwenden

Ihre Daten werden ausschließlich verwendet für:

• Bereitstellung von Transkriptionsdiensten über OpenAI
• Verfolgung Ihres monatlichen Nutzungskontingents
• Kommunikation über Ihr Konto und Service-Updates
• Verbesserung der App- und Website-Funktionalität
• Versand von Produktneuigkeiten (nur bei Opt-in)

Wir verkaufen Ihre Daten nicht an Dritte und verwenden sie nicht für Werbezwecke.

4. Audioverarbeitung

Wenn Sie Audio in Vocado aufnehmen, wird es zur Transkription an OpenAIs Server gesendet. OpenAI verarbeitet Ihr Audio, um Text zu generieren, und verwirft das Audio sofort. Ihr Audio wird von OpenAI nicht gespeichert und nicht zum Training von KI-Modellen verwendet.

Ihre Transkriptionen werden lokal auf Ihrem Gerät gespeichert. Wenn Sie Web-Zugang aktivieren, werden Ihre Notizen mit unseren sicheren Cloud-Servern (Firebase/Google Cloud) synchronisiert.

5. Ihre Rechte (DSGVO)

Als Nutzer in der EU haben Sie das Recht auf:

• Auskunft: Eine Kopie Ihrer personenbezogenen Daten anfordern
• Berichtigung: Korrektur ungenauer Daten verlangen
• Löschung: Löschung Ihrer Daten verlangen ("Recht auf Vergessenwerden")
• Datenübertragbarkeit: Export Ihrer Daten in maschinenlesbarem Format
• Widerruf der Einwilligung: Marketing-Kommunikation jederzeit abbestellen
